Converting Documents from Multiple Word 97, 2000 and Multiple WordPerfect 2002 to a single WordPerfect 2002 document
The following article was written by Bruce Bidgood, a Systems Engineer with Corel Professional Services

Converting any documents from one source to another is never an easy task. There are no set guidelines on how to achieve this. In this article we will outline simple processes to use when converting documents from one source such as Word to WordPerfect. In this article we will focus on converting from Multiple Word 97, Word 2000 and WordPerfect 20002 documents, then inserting them into a single document created by a specially formatted template.

Overview of the conversion process

To convert multiple documents from multiple sources to a single document type the documents must be prepared to be converted. Once the documents are prepared they can all be inserted into the final document that is created off a Template. With this method conversion problems will be avoided.

The process is simply;

  1. Convert any Word 97 documents to Word 2000 documents. This ensures a standardization when converting the documents from Word to WordPerfect.
  2. Carry out post conversion checks.
  3. Check all documents for pre conversion issues as listed below.
  4. Convert all Word 2000 documents to WordPerfect
  5. Carry out post conversion checks
  6. Create a new document from the template provided
  7. Insert the documents into the new document at the desired location.
  8. Check entire document for conversion problems.
  9. Save a copy of the new document and all converted ones in a safe place for easy retrieval until the final approval is given for the document to be published.


Converting Word 97 documents to Word 2000 documents

The first step is to convert any Word 97 documents to Word 2000 documents. Go through the document and ensure the formatting is correct on all three levels of formatting.

  • Check the sections to ensure the margins, orientation, paper size, headers, footers, vertical alignment, columns, and line numbering have converted properly
  • Check all the paragraphs for tabs, indents, spacing before and after paragraphs, bullets, numbering, justification, line spacing, keep lines together, keep paragraph with next paragraph, widow/orphan control, page break before, borders, shading, and hyphenation have converted properly.
  • Check the characters for proper fonts font sizes, bold, capitalization, italics, language, hidden, color, special effects such as embossing and shadows, superscript, subscript, and kerning.

Remove any unnecessary fonts or styles
The Word 2000 documents are now ready to be converted to WordPerfect 2002

Pre conversion cleanup
All documents must be prepared beforehand for conversion before being converted to WordPerfect 2002 WPD format

  • Ensure the same printer and printer driver is being used for all the documents
  • Check all graphics to ensure they have been all optimized for conversion to WPG format. (See Graphics section for more information.)
  • Minimize the number of styles and fonts, standardize the styles and fonts to be used in all documents, remove any unnecessary ones. This will ensure a better conversion dramatically.
  • Make sure the font is readily available, font substitution can cause some major headaches.
  • Simplify the Bullets and numbering, the more complex they are the more likely they will not convert properly.
  • Simplify the tables, this is an area where most problems occur, wait until after the final assembly of the document to add more complexity to the tables.

Once all this is done the document is then ready for conversion into WordPerfect (WPD) format.

Converting Word 2000 documents to WordPerfect 2002
Go through the document and ensure the formatting is correct on all three levels of formatting.

  • Check the sections to ensure the margins, orientation, paper size, headers, footers, vertical alignment, columns, and line numbering have converted properly
  • Check all the paragraphs for tabs, indents, spacing before and after paragraphs, bullets, numbering, justification, line spacing, keep lines together, keep paragraph with next paragraph, widow/orphan control, page break before, borders, shading, and hyphenation have converted properly.
  • Check the characters for proper fonts font sizes, bold, capitalization, italics, language, hidden, color, special effects such as embossing and shadows, superscript, subscript, and kerning.
  • Remove any unnecessary fonts or styles
  • Check the graphics to see if they converted properly, if not resample them and insert them manually.


Now the documents are in one single file format, WordPerfect (WPD). They are ready to be inserted into the single document created by the template. Inserting the multiple WordPerfect 2002 documents into the New final document
The final document is created from a template. This template will contain all the proper styles formatting and fonts.

Inside the new file navigate to each location that the multiple documents are to be inserted. Insert the desired document. If you are prompted to overwrite the style select no this will ensure that no new styles are introduced to the document. There should be no new styles if the document was prepared and converted properly in prior steps.

Once you have inserted the documents into the new document go through and recheck the document a final time for any changes that should not have occurred.

What to do next
Now that the document is created it should be saved and an original copy of it and all the converted files stored in a safe location until the document receives the final approval.

As you do more and more conversions of this sort it will become easier and quicker as you will get to know the trouble spots in the conversions. Remember to always convert Word documents to the most recent Word version available. Check for conversion problems, fix those problems convert these documents to multiple WordPerfect documents fix, any conversion issues and then insert them into the new file created by the template. This will help convert many different versions of documents into the final one for distribution.

This process will ensure that the conversions of documents from multiple versions of Word and documents from WordPerfect 2002 can be converted into one document with minimal conversion problems.

Graphics
When importing or exporting a graphic associated with a document, the use of the graphic filter accomplishes one of the following:
  • If the graphic is in a format that is native to WordPerfect, it is preserved in its original format.
  • If the graphic is built in a non - native format which WordPerfect recognizes, it is converted to a format native to WordPerfect.
  • If the graphic is in a format that WordPerfect does not recognize, it is not converted.

If the graphic is not coming in correctly or not appearing properly try the following.
  • Check Full-Page Zoom. Does it look correct? Does this differ from how the image appears in other zoom resolutions or in when edited in WP Draw?
  • If it looks correct and is printing wrong, check your print driver to ensure it's the latest version and that it is not corrupt. Try printing the document graphically (File|Print| Options|Print Document Graphically).
  • Check the image settings for the box. Reset all of the attributes in the Using the Image Tools options.
  • Save the document, delete the graphics box code from the document, and re-create it.
  • Exit WordPerfect and Windows, come back in, and try again with the document.
  • Try duplicating the problem from a clear screen.
  • Try using one of the WPG files that ships with WP.
  • Check how the problem image imports back into the third-party (source) application. Try a different file format from the source application. Check to see if the problem only occurs with bitmap or vector type graphics.
  • See if the problem occurs with the graphic in other third-party programs (e.g., retrieve the graphics image into Paintbrush, MS Write, CorelDRAW, MS Word, etc.).
  • Try using the Windows Clipboard to insert the image into the document. How does it appear in the document and on the Windows Clipboard? How does the image paste into other Windows applications (e.g., MS Write, Paintbrush, etc.)? What formats are available on the Windows Clipboard and in Paste Special? Try the different formats listed under Paste Special.
  • Change the settings for Graphics Import in File|Preferences|Import. Select each of the options then paste the image. Does this make a difference?


Copying Graphics from a Word Document to a WordPerfect document
  • In Word select the graphic
  • Copy to the clipboard
  • Switch to WordPerfect
  • Go to the desired insertion spot in the document
  • Click on Edit, Paste Special...
  • Select Picture(Metafile)
  • This will insert the graphic into WordPerfect an convert it properly

Inserting GIF, BMP, WMF, EMF files into WordPerfect
  • Click on Insert, Graphics, From File...
  • Navigate to the GIF file
  • Click on Open
  • The GIF file will be inserted into the WordPerfect document.

Inserting Power Point Graphics
  • Open the Power Point file
  • select the graphic and copy it to the clipboard
  • Switch to WordPerfect
  • Go to the desired insertion spot in the document
  • Click on Edit, Paste Special...
  • Select Picture(Metafile)
  • This will insert the graphic into WordPerfect an convert it properly
